What Is Business Process Automation? Calculate Your ROI Before You Invest

In short

Business process automation (BPA) means using software to execute recurring tasks that humans currently do by hand. The goal is to reduce manual work, cut errors, and speed up operations. But before you invest, you need to know if the numbers work. That's where our ROI calculator comes in.

If you are still asking what is business process automation and who can do it for you, our shortlist for SMEs answers both. This page answers the next question: does automating one given process pay for itself?

How the numbers are calculated
  • Hours saved per month = runs × adoption rate × (minutes by hand − minutes once automated) ÷ 60.
  • Error costs avoided = runs × adoption rate × (error rate by hand − error rate once automated) × minutes to fix ÷ 60 × hourly cost.
  • Running costs = software per month × 12 + maintenance rate × implementation cost.
  • Net savings per year = labor savings + error costs avoided − running costs.
  • Upfront cost = implementation cost + training hours × hourly cost.
  • Payback period = upfront cost ÷ monthly net savings.
  • First-year ROI = (net savings per year − upfront cost) ÷ upfront cost.

What You Get With This Tool

This page is built for one thing: to help you decide if automating a process makes financial sense. You enter a few details about the process you're considering, and the calculator estimates your potential return on investment. You can then save the report as a PDF to share with your team or keep for your records.

The calculator covers common automation scenarios: data entry, document routing, invoice processing, and more. It uses standard formulas, written out under the results, to compute time saved, error reduction, and payback period. No email required, no sales call.

Key Benefits of Business Process Automation

Automating a process delivers benefits that go beyond just saving time. Here are the ones that matter most for small and medium businesses:

  • Lower labor costs: Reduce the hours spent on repetitive tasks.
  • Fewer errors: Automated steps follow rules consistently, eliminating typos and missed fields.
  • Faster turnaround: Processes complete in minutes instead of days.
  • Better compliance: Every action is logged, making audits easier.
  • Scalability: Handle more volume without hiring more staff.

These benefits are real, but they vary by process. Our automated reporting case study shows the end state on one of them: a chain that goes from raw data to a distributed report with no manual work. The calculator helps you quantify them for your specific case.

How the ROI Calculator Works

Using the calculator takes three steps:

  1. Describe your process: Choose the type of task, how often it runs, and how long it takes by hand and once automated.
  2. Set your parameters: Enter your hourly labor cost, the expected error rate, and what the automation costs to build and run.
  3. Get your estimate: The calculator shows your annual savings, upfront cost, payback period and first-year ROI.

You can adjust any input and see the results update instantly. When you're satisfied, save the full breakdown as a PDF report.

What's in the Downloadable Report

The report includes everything you need to present to stakeholders:

  • A summary of your inputs and assumptions
  • Calculated annual savings and ROI percentage
  • Payback period in months
  • A breakdown of time saved per task
  • Notes on how to interpret the results

The report is yours to keep. You can use it to build a business case for automation or to compare different processes. To download it, press the print button and choose Save as PDF as the destination.

Why Trust This Calculator

This calculator was built by OptimizIA.xyz, an AI and automation agency for SMEs. Our co-founder Rémy Ginoux spent 25 years in industrial and digital transformation, at Volvo Group, Airbus Atlantic and Solvay, and today we help businesses like yours automate workflows with tools like n8n and Make. We know the pitfalls of automation projects, and we designed this tool to give you a realistic estimate, not a sales pitch.

It is also the arithmetic we use with clients. Before we build anything, we agree on what success looks like: time saved, volume processed, error rate. On our lead monitoring for Paul Bergé Lemonnier, an influence agent, the measure that counts is the client's own, published on our levers page: the system "saves me over 2 hours a day".

One thing we won't do: promise you'll save 30% of your time. Our home page talks about reclaiming up to 30% of productive time, and "up to" is the point: it is a ceiling, not a forecast for your process. Results depend on your process, your team, and how well you implement the automation. The calculator gives you an estimate based on your inputs, so you can plan accordingly.

Common Mistakes When Calculating Automation ROI

Many businesses overestimate savings by ignoring hidden costs or underestimating implementation time. Here are pitfalls to avoid:

  • Forgetting maintenance: Automation needs updates and monitoring. Budget 10 to 15% of the initial cost annually, plus software subscriptions, usually a few tens of euros a month for an SME workload.
  • Ignoring training time: Employees need time to learn new workflows. Include this in your payback period.
  • Overlooking integration costs: Connecting automation to existing software may require extra development. Count it in the implementation cost.
  • Assuming 100% adoption: Not every task will be automated perfectly. Use a realistic adoption rate (e.g., 80%).

Our calculator includes fields for these factors, so your estimate stays grounded.

Real-World Example: Invoice Processing

Let's say your team processes 500 invoices per month. Each invoice takes 10 minutes by hand, and your loaded labor cost is €25 an hour: that's 83 hours a month on this task, with a 5% error rate on top. Automation could cut processing time to 2 minutes per invoice, the time a person still spends checking it.

If every invoice went through the automation, you would save 67 hours a month, or €20,000 a year in labor. At a realistic 80% adoption, it's 53 hours a month and €16,000 a year, plus €1,200 a year of corrections avoided if the error rate drops from 5% to 1% and each correction takes 15 minutes.

Now the costs. Assume €5,000 to build and connect the workflow, 8 hours of training, €30 a month of software and 15% of the build cost a year for maintenance. The net saving is €16,090 a year, the payback period is just under four months, and the first-year ROI is 209%. These are the example values the calculator opens with: run your own numbers to see similar results.

The €5,000 is an assumption for the example, not our price. Our PoC and MVP start at €1,500 excl. VAT on our services page, and the final price is fixed in writing once we have seen your process.

Next Steps After Your Calculation

Once you have your ROI estimate, prioritize processes with the shortest payback period. Start with a pilot project to validate assumptions: that is what a PoC is for, on one real process with your real data, and with us, going from PoC to a working MVP takes 13 days on average. If the numbers look good, move to full implementation.

If you have several candidate processes and don't know which one to measure first, our diagnostic ranks them, from €1,000 excl. VAT. For guidance on choosing the right automation platform, read our comparison of n8n, Make and Zapier or contact our team.

Frequently asked questions

Is the ROI calculator free to use?

Yes, the calculator is free. You can use it as many times as you like and save reports as PDFs without paying anything or leaving an email.

What if I don't know my error rate?

Use the default value provided. It comes from our invoice example, 5% by hand and 1% once automated, not from a published industry average. Better: count the corrections your team made over the last two weeks and divide by the number of runs. You can adjust it later if you have more precise data.

Can I use this calculator for any type of process?

The calculator works best for repetitive, rule-based processes like data entry, document handling, and routine approvals. For complex, judgment-heavy tasks, the estimates may be less accurate.

How accurate are the ROI estimates?

The estimates are based on standard formulas and your inputs. They are meant to be a starting point for your analysis, not a guarantee. Actual results will vary depending on implementation quality and other factors. The two inputs that move the result most are the minutes saved per run and the adoption rate: measure them on a pilot before a full rollout.

Numbers look good? Prove them on one process.

Book 20 minutes: describe the process you measured, and we tell you honestly whether a diagnostic, a PoC or nothing at all is the right next step.
